About this Role
An Administrative Assistant is required to assist the Shareholder Engagement Officer and Senior Pension and Investment Analyst. This position is based at BCGEU headquarters in Vancouver, BC. The successful candidate will be part of a team, supporting the union’s shareholder engagement program and investment-related projects. The role involves responsibilities such as filing shareholder proposals, managing legal and investor correspondence, supporting investor outreach, posting and maintaining content on the BCGEU website, and managing various schedules and deadlines. The assistant will also aid in maintaining datasets and handling proxy voting. In addition to project management, this position involves logistical planning for conferences and liaising with BCGEU activists and employer representatives. The role also includes general administrative tasks such as managing communications, preparing requisitions, and maintaining organized filing systems.
Responsibilities
- Support the union’s shareholder engagement program and investment projects.
- File shareholder proposals and manage investor correspondence.
- Assist in investor outreach and maintain the BCGEU website.
- Manage shareholder calendars and filing deadlines.
- Assist with proxy voting and document processing.
- Make travel and hotel arrangements for conferences and meetings.
- Liaise with BCGEU activists and employer representatives.
- Maintain departmental filing systems and a daily bring-forward system.
- Respond to telephone and media inquiries.
Requirements
- 3-4 years of administrative experience.
- High school graduation supplemented by administrative training.
- Excellent keyboarding skills (40-50 wpm).
- Proficient in Microsoft Excel and Word.
- Strong communication, spelling, and grammatical skills.
- Aptitude for organization and detail-oriented tasks.
- Good telephone manner and ability to prioritize tasks.
