The Senior Associate will assist the Director, Grants & Contract Management in managing multiple aspects of the organization’s fundraising efforts and grant reporting. This role supports the strengthening of relationships with program officers and investors, enabling members to sustain long-term financial support for Living Cities. In addition to Program team interaction, the Senior Associate will work closely with members of the Finance & Accounting, Member Collaborative, and the Impact & Insights teams, to support knowledge sharing across the organization with the goal of increasing transparency, sharing resources with funders and furthering engagements amongst our members.

The ideal candidate is one who has excellent writing skills with the ability to collect and synthesize data, determine commonalities, and craft the story the data tells. This individual is self-motivated, innovative, able to work independently, and detail oriented. This candidate is open to learning about philanthropy and sharing philanthropic best practices within the organization.


This position reports to the Director, Grants & Contract Management


Primary functions may include:

Executes on strategic and practical activities in support of Grants & Contract Management matters including but not limited to:

  • Coordination of the grant report calendar.
  • Coordination of the development calendar in conjunction with the Strategy team.
  • Track touchpoints with program officers.
  • Proposal and grant report execution (monitoring, initiation and follow up).
  • Contract, Sub-grant, Honoraria and Addenda creation and subsequent input and tracking in Salesforce.
  • Utilize Salesforce to ensure up-to-date capture of insights into member institutions (from social media/websites/press, conversations, meetings)


Secondary Responsibilities May Include:

  • Communications:
  • Support Living Cities’ data collection and synthesis of lessons learned in coordination with Impact and Insights and Member Collaboration.
  • Support internal documentation of Living Cities impact in collaboration with the Directors of Grants & Contract Management, Member Collaboration and the Senior Associate, Results.
  • Grant Reporting:
  • Enter opportunities into Salesforce database including deliverables, milestones & payments.
  • Create first draft of grant reports for all grants (restricted and unrestricted)
  • Create the first draft of proposal/applications for all pledges.
  • Manage pledge/grants calendar to track due dates.
  • Update tracking template with new pledges and update on deliverables.
  • Database Management:
  • Record clean-up: verify ID numbers, funding programs, start/end dates, active/inactive, compensation, and executed documentation.
  • Enter and maintain new records.
  • Proactively identify needs for renewals, reporting, documentation, and further information about each record
  • Liaises with program and/or accounting staff as necessary.
  • Contract, Honoraria & Sub-grant Tracking:
  • Gather and review contract, honoraria, and sub-grant requirements to map to pledge deliverables.
  • Update database each step of the process and maintain electronic records to upload to the salesforce records for reconciliation purposes.



  • A four-year degree or equivalent and five (5) or more years work experience in a related role or field
  • A background in board, funder and/or grants management, with knowledge of effective practices in fundraising, grant development, grant reporting and management is preferred.
  • Experience managing competing priorities with attention to detail in a fast-paced, dynamic environment with aggressive deadlines and a high level of ambiguity, balancing long-term goals with day-to-day demands.
  • Demonstrated ability to work within a results-driven team.
  • Interest in addressing economic inequality especially for communities of color; experience in the urban, social change field is a significant asset.



  • Demonstrated written communication skills; experience with proposal/grant reporting.
  • Excellent project management skills.
  • Familiarity with Customer Relationship Management (CRM) and/or Fundraising software.
  • Strong interpersonal skills, with the ability to develop and maintain productive relationships across lines of difference and to serve as an organizational culture carrier.
  • Proficiency/working knowledge of Microsoft Office Suite, Adobe, Fundraising Software (Salesforce preferred).
  • Foundational knowledge of racial equity and curiosity, humility, and openness to continuing to learn – and apply learnings — about race, equity, and power inside and outside of the organization.

As much of our work is performed on a computer, the employee must be able to remain in a position that allows them to do so effectively. Additionally, they may require some movement around the office to access files or other equipment or technology. As collaboration and communication are a large part of our work, the employee must also be able to accurately exchange information in these situations, whether verbally or written.



This is a full-time position.



Travel is primarily local during the business day, although some out-of-area and overnight travel may be expected.
